Medical Documentation/Clearance
American International College utilizes Sportsware for all Electronic Medical Record (EMR) keeping. This system is used to track all medical records, athlete forms and injury documentation. All incoming students will receive an email from the Sports Medicine staff inviting them to join Sportsware and complete their EMR. All AIC student-athletes must fill out their pre-participation medical forms and submit them to Sports Medicine Department before participating in athletic events.
Athlete Medical Clearance
All student-athletes must be medically cleared before they can participate in athletics. Student-athletes must present with a physical that states they are in good health that has been performed within the six months prior to the medical clearance date. AIC students are required to have all state mandated and college-required vaccinations and immunizations, and proof of immunizations will be received and documented by Dexter Health Services.All AIC student-athletes need sickle cell testing results. All forms and injury history within Sportsware must be completed and reviewed by the Sports Medicine Staff before participation. Student-athletes will complete these forms online using the Healthy Roster. Student-Athletes must also complete a preseason orthopedic screening with an athletic trainer and the SWAY baseline concussion assessment before their season starts. The Sports Medicine department will work with coaches and student-athletes to schedule preseason screenings and SWAY testing before practices start. Once all medical requirement forms are completed, the student-athlete will be medically cleared for ARMS participation.

Physical Therapy Needs
When an AIC coach recruits an incoming student-athlete who has suffered an injury that requires physical therapy, the AIC sports medicine team will aid the student-athlete in obtaining physical therapy services off campus. The AIC sports medicine team can make accommodations where possible for incoming injured student-athletes to perform PT on campus when the Department for Sports Medicine and Performance is running at full staff*.
In most cases, injured incoming student-athletes who require the one-on-one attention of a physical therapist will benefit from obtaining these services off campus. The Department for Sports Medicine and Performance will aid the student-athlete in locating these services, and with transportation via Uber Health. Athletic Trainers will not be responsible for transporting incoming injured student-athletes not injured at AIC.
Injured incoming student-athletes must bring appropriate documentation from their physician or orthopedic doctor to obtain physical therapy services off campus.
Post-Injury Needs
In some instances, incoming student-athletes that have been previously injured may be cleared by a physician to participate in athletics, but state that they require care for a previous injury not sustained as a result of participating in intercollegiate athletics at AIC. In these cases, all student-athletes that have suffered an injury that does not withhold them from participation but require the follow up care of Athletic Training, will need to present a note from their treating physician for that injury stating the medical necessity of any treatments that will need to be provided by Athletic Training.
This process helps eliminate instances where injured athletes who do not seek appropriate care prior to becoming an AIC student-athlete end up making an injury worse as a result of their participation in intercollegiate athletics at AIC.
Though an incoming student-athlete may be cleared by a physician in their required physical, if an underlying issue or injury is suspected by an Athletic Trainer during a required participation screening, the incoming student-athlete will be required to follow up with a medical professional and be cleared after further and more thorough evaluation. These services and any follow up procedures are not covered under the AIC secondary insurance policy as the injury was not sustained as a result of participation in intercollegiate athletics at AIC. The incoming student-athlete will be financially responsible for all necessary follow-up needs in order to be medically cleared for athletics.
